YouTube Data API Key
Set this to auto-fetch description + duration from any YouTube video when you paste a URL. Without it, only title + thumbnail are auto-filled (via the public oEmbed endpoint). Get a key at console.cloud.google.com → create a project → enable YouTube Data API v3 → create an API key.

Welcome — you're in the right place
This portal is where you manage your Picture Parties, design printed place cards for your clients, and track every click and dollar your unique affiliate link brings in. You don't need to be technical to use it. If you can drag, tap, and type, you can do everything in here.
This is hands-off for you. You give us the info — client name, event details, where to ship — and we take it from there. We design, print, and ship the place cards. We handle the payouts. You just bring the relationships.

Training Library — watch the walkthroughs
The Training Library (sidebar entry, near the bottom) is where recorded walkthroughs and training sessions live. If you're new, watch the affiliate training video first — it's the fastest way to get up to speed.
Playing a video
Click any card to expand it. The video plays right there in the portal — no new tab, no app to install. Below the player you'll see a description and a clickable transcript.
Clickable transcripts
The transcript on the right (or below the video on mobile) is broken into timestamped segments. Click any line to jump the video to that exact moment. As the video plays, the active line highlights and the transcript auto-scrolls to keep up. Great for finding the part you need without scrubbing.
Layout toggle (desktop)
On wider screens there's a small Stacked / Side by side toggle at the top right of the open card. Side-by-side puts the video on the left and transcript on the right. Stacked puts the transcript directly under the video. Your choice sticks for the next card you open.
Sharing a link — including a specific moment
The icon on each card copies a direct link to that video. Once you've played past 0:00, a tiny dropdown caret appears next to it — opening the dropdown gives you "Copy link at current time", which adds ?t=83 (or whatever second you're at) to the URL so a teammate lands at the same moment you did.
Where you left off
If you navigate to another portal page while a video is playing, it pauses automatically — it doesn't restart. When you come back to the Training Library, the video is right where you left it. Switching browser tabs also pauses video stats without losing your position.
New training sessions get added periodically. The list updates automatically — no need to refresh on a schedule.
Quick Status — is everything working?
If something feels off, walk through this short checklist. Each item is a thing you can verify yourself in less than a minute.
- Your account is set up. Click your name at the top of the sidebar to open the My Account page. You should see your name, email, and your affiliate details filled in. If anything is blank or wrong, click Edit on the card to update it — or reach out to us if something's off that you can't fix yourself.

Your affiliate link is generated.
On My Account, look for the My Link card. It will show a URL that starts with
https://pictureparty.com/and ends with your unique affiliate ID (something likePP-AB12CD). If the link is missing, log out and back in once. - Your stats are loading. The My Link card shows numbers for Clicks, Conversion, Commissions, etc. They should update within a minute of you opening the page. If they say "Loading…" forever, hit the small refresh button in the corner of the card.
Everything check out? You're set up perfectly — every click, sign-up, and earning event tied to your link is being recorded.
Your Affiliate Link
What is it?
It's a special web address that points to pictureparty.com, but with a hidden marker on the end that says "this visitor came from you." Whenever someone clicks your link, signs up, or makes a purchase, our system credits it to your account — automatically.
Why is yours unique?
Your link contains a code that belongs only to you (your affiliate ID, something like PP-AB12CD). Two affiliates never share the same link. That's how we know whose audience drove which traffic.
Where do I find it?
Open the sidebar, click your name (or the profile picture) at the top — that opens My Account. Look for the My Link card on the right side of the page.

How do I copy it?
- Find the link in the My Link card.
- Tap the small copy icon on the right side of the URL bar.
- You'll see a quick confirmation that says "Link copied".
- Now paste it (Ctrl+V on Windows, Cmd+V on Mac, or long-press → "Paste" on a phone) into your Instagram bio, a text message, an email signature — anywhere you want.
Where it pays off: Instagram bio, link-in-bio tools (Linktree, Beacons), YouTube descriptions, email signatures, text messages to friends and prospects, the "About" section on TikTok, Facebook posts. Anywhere people who trust you will see it.
When does your link actually matter? Only when you're sharing it yourself — texting it to someone, dropping it in your bio, or pasting it into an email. For your venues' printed table cards, you don't have to do anything: every QR code on those cards is already tied to your affiliate ID, so any guest who scans one is credited to you automatically.
Reading Your Stats
Your stats card shows a few different numbers. Here's what each one tells you, in plain English.

Link counts can take up to 24 hours to reflect on your dashboard. If a number seems behind today, it's not lost — it'll catch up. Hit the small refresh button on the My Link card to pull the latest numbers we have on file.
Adding & Managing Clients
A client is anyone you book a Picture Party for — a couple getting married, a birthday host, a corporate event lead. The portal keeps each client's parties, orders, and contact info grouped together so you never have to dig.
Where to find them
In the sidebar, click My Clients. The page lists everyone you've added, with quick stats per row (number of parties, last activity).
Adding a new client
- On the My Clients page, click Add Client (top right). On mobile it's an icon-only button.
- Fill in the name (required), email, phone, and a category if you use them (Wedding, Birthday, Corporate, etc.). Only the name is mandatory — everything else can be added later.
- Click Save. The new client appears at the top of the list.
Importing several at once (CSV)
If you're moving from another tool, click Import. You'll be asked for a CSV file with columns for name, email, phone, etc. A small preview lets you confirm the columns line up before anything is saved.
Editing or removing a client
- Click the client's row to open their detail page.
- Click the Edit button next to their info to change anything.
- The Delete button is in the same area, marked with a trash icon. Deleting a client also removes their parties and orders — you'll be asked to confirm.
Searching & filtering
The search bar at the top of the client list matches name, email, or company. The category dropdown next to it narrows the list to one tag (e.g. only Weddings). Click the column-toggle button on the right to show or hide columns you don't care about.
Adding & Managing Picture Parties
A Picture Party is one event — one wedding, one birthday, one launch. Each party belongs to a client (or to you, if it's a personal one).
Adding a party from a URL
The fastest way: paste the Picture Party URL the client gave you. The portal scrapes the page and pulls in the title, date, time, location, banner image, and host name automatically.
- Open the client's detail page (My Clients → click their row).
- Find the Add a Picture Party card. Paste the URL into the input.
- Click Load. Within a couple of seconds the party shows up with everything pre-filled.
- Review what was loaded. If anything looks off, click into the party to edit.
Don't have a URL yet? Ask the client for their Picture Party share link — it's the same link they'd send to their guests.
"My Picture Parties" (your own)
The sidebar has a separate My Picture Parties entry. That's for events that are yours — your studio's open house, your own birthday, etc. They show up on your personal calendar but aren't tied to a client.
The party detail page
Click any party in the list (or in the calendar) and you'll see the full detail page: title, date/time, host, location, attendee count, the party's banner image, and a button to open the public Picture Party URL. From here you can:
- Jump to the client's profile (the client name is a link)
- Open the party's public page in a new tab
- See every print order tied to this party, with status pills
- Open the Card Creator to design or update place cards
The Card Creator — your most powerful tool
The Card Creator (also called the Place Card Designer) is how you turn any Picture Party event into beautiful, brand-matched printed cards. It's drag-and-drop. No design skills required. Let's walk through it together.
1. Opening the Card Creator
Open any client's Picture Party page, find the party you want to design cards for, and click Design Cards. The Card Creator fills the whole screen.
2. Choosing a layout
At the top of the Card Creator is the Layout toggle. Two options:
Layout:
- Portrait — taller than wide. Great when the party photo is a phone shot or a portrait selfie.
- Landscape — wider than tall. Great for group shots, sunsets, and most banner-style photos. This is the default.
Tip: You can switch back and forth any time — nothing is lost. Whatever you've typed for the title, date, and notes stays put.
3. The Style Studio — where the magic happens
To the right of the card preview (or below it on mobile) is the Style Studio. It's always open — nothing to expand or collapse — and has three tabs across the top: Text, Style, and Image. This is where you make the card your own.
3a. The "Text" tab
This is where you type and tweak the words on the card.
- Title — the big text at the top. The character counter ("0 / 100") keeps you on track. The Rewrite button next to it uses Myseum.AI to suggest a perfect title — it reads what you've already typed plus the event's description and proposes punchier wording. A tiny revert arrow puts the original title back.
- Title size slider — drag to make the headline bigger or smaller. Most people stay around 40–52px.
- UPPERCASE / Title Case / Sentence case — controls how the title is capitalized.
- Italic — tilts the title for a fancy script feel.
- Date & Time — pick from a calendar/clock picker. Tick the checkbox to hide either one if you don't want to show it.
- Description — a longer line of text underneath. Use the controls right there to tweak its appearance — size, alignment, and whether it's shown at all.
3b. The "Style" tab
This is the visual tab — colors and alignment.
- Color swatches — click any colored circle to instantly tint the title, accents, or borders. The active swatch has a ring around it.
- Custom color — if none of the presets match, click the eyedropper or color square to pick anything you want.
- Alignment buttons — left / center / right for the text. Center looks classic; left is more modern.
- Background / accent / border sections all work the same way.
- Accent color — what it touches. The accent affects the date (and the design lines around it), the QR code, and the small "pictureparty" help text in the corner. You can selectively disable the accent on any one of these elements — handy when you want a clean, single-color look. The QR code also has its own short list of high-visibility color presets to choose from independently — useful when the accent you picked would make the QR hard to scan.
3c. The "Image" tab
The photo. This is what people see first.
- Replace image — upload a new photo from your computer or phone.
- Drag to reposition — click and drag the banner directly on the card preview to move the focus to the right spot (their faces, the cake, the centerpiece).
- Zoom — a slider lets you zoom into the photo. The grid lines that appear briefly are guides for "rule of thirds" framing — line up important things with those lines for a balanced look.
- Flip — mirror the image left-to-right. Useful when the lighting or subject leans the wrong way.
4. The Revert button
Click Revert any time to throw away all your edits and start fresh from the card as it was first imported. You'll get a "Are you sure?" prompt first — you can't accidentally revert.
5. Don't worry about saving
The Card Creator saves your work automatically as you type and tweak. If you accidentally close the tab, lose Wi-Fi, or come back the next day, it asks if you want to "Restore unsaved card edits from a few minutes ago?" Hit Restore and pick up exactly where you left off.
Why custom cards are worth the effort
Take a moment to make the card look like you:
- Shareability skyrockets. Guests photograph custom cards and post them to Instagram far more than generic ones. Every share is free marketing for the party (and for you).
- Brand consistency. Match colors to the host's wedding palette, your studio's brand, or the party theme — it makes the whole event feel curated, not stock.
- Higher perceived value. Clients who see thoughtful card design rate the whole Picture Party experience higher, which means better reviews and more referrals back to you.
- It's fast. A typical card takes 3–5 minutes to polish. The payoff lasts forever.
Placing & Tracking Orders
When the cards look right, you order them. From there it's hands-off: Picture Party prints, packages, and ships them. You and your client get tracking emails along the way — no vendor calls, no shipping labels to print, no follow-ups required from you.
Placing an order
- Open the party detail page (or stay in the Card Creator).
- Pick the product (Place Cards, etc.) and a quantity.
- Confirm the shipping address. If your client wants them shipped directly, switch the address; otherwise it goes to your default.
- Click Place Order. The order is created instantly and the PDF starts generating in the background.
What each status means
Every order has a colored fulfillment status pill that progresses left-to-right as the order moves through the pipeline:

The order detail page
Click any order (from My Picture Parties → party → orders list, from the Orders page in the sidebar, or from the calendar) to open its detail page. It shows:
- Order number, date placed, quantity, and notes
- The shipping address it's going to
- A live preview thumbnail of the cards (with a shimmer placeholder while the preview is rendering)
- Tracking events as they come in, with timestamps that hover for absolute time
- A Print button (top right) for a clean receipt-style printout
- Quick copy buttons next to long codes (order number, tracking number)
The Orders page
The sidebar's Orders entry shows every order across all your clients. Use the search bar to find by client, party title, or order number. The filter dropdowns let you narrow to one status (e.g. just "In Production") or sort by newest, oldest, or event date.
Archived orders
Delivered orders can be archived to keep your active list clean. Look for the Active / Archived tabs at the top of the page. Archived orders are never deleted — they're just out of the way.
The Calendar Views
The portal has two calendars: a small one always visible on the dashboard, and a full-page one when you want the wider view.
Dashboard mini-calendar
On the home page (when you sign in or click Calendar in the sidebar), the right side shows a compact month-grid with colored dots on dates that have parties or orders. Underneath is a list of upcoming events for the visible month.
- Click a date to scroll the list to that day.
- Click an event chip or list item to jump straight to that party or order's detail page.
- On mobile the calendar is hidden by default. Tap the calendar button in the top bar to slide it in.
Full-page calendar
Click Calendar in the sidebar's top entry to open the big version. On desktop it's a month grid; on mobile it switches to a list view automatically so the days are easier to scan with your thumb.
- Use the arrow buttons in the toolbar to move between months.
- Each event chip is color-coded by type (party, order, announcement). The icon on the chip tells you which.
- Tap any chip to drill into its detail page.
Announcements & Polls
Announcements are how the Picture Party team shares updates with all affiliates — product news, payout schedules, tips, etc. You'll see them on the dashboard.
Reading them
Scroll the announcement feed on the home page. Newer posts are at the top. Each card shows who posted it, when, and the body.
Reactions & comments
- The heart icon at the bottom of each card adds a like. Click again to remove it.
- The comment icon expands a thread where you can post a reply. Press Enter to send.
- You can delete your own comments with the small next to them.
Voting in polls
Some announcements include a poll. To vote:
- Tap the option you like best. That counts your vote instantly.
- You'll see live results — horizontal bars with the percentage on each option. The one you picked is highlighted green with a check.
- Changed your mind? Click Change vote in the footer.
Each affiliate gets one vote per poll. Votes are anonymous to other affiliates.
My Account & Profile
Your My Account page (your name at the top of the sidebar) is where you manage everything personal: photo, contact info, shipping address, password, theme, and notification preferences.
Profile photo
Click the round avatar at the top of the My Details card. A file picker opens. Pick any square-ish photo of yourself — it's cropped automatically. The new photo shows up everywhere your name appears within seconds.
Contact info
Click Edit on the My Details card to change your display name, email, phone, or company. Save writes the changes; Cancel reverts.
Shipping address
This is the default address used when you order place cards. There's a Google Places autocomplete — just start typing the street and pick from the dropdown.
Changing your password
Under Security, click Change password. You'll be asked for your current password and a new one. Choose something at least 8 characters.
Light / Dark mode
The sun/moon toggle is in the top right of the sidebar header. Click it to switch. Your choice is remembered on this device.
Email preferences
Under Notifications, the Email-blast announcements checkbox controls whether you get email copies of Picture Party announcements. Transactional emails (password reset, order shipped) are always sent — they can't be unsubscribed.
Mobile Tips & Power-User Shortcuts
Pull to refresh
On any page, scroll to the top and drag down. You'll see the Picture Party logo wind up as you pull. Release once it's spinning to refresh whatever you're looking at. It works on dashboards, tables, and detail pages alike.
Cmd+K command palette
On desktop, hit Cmd+K (Mac) or Ctrl+K (Windows) to open a search-anywhere prompt. Start typing — you can jump to any panel, action (Toggle dark mode, New Client, etc.), or directly to a specific client, party, or order. Press Enter to go, Esc to close.
Print-friendly pages
Order detail pages and your stats page have Print buttons. They strip away the sidebar, nav, and chrome so you get a clean, printable receipt-style page.
Copy chips
Any long code (order number, tracking number, affiliate ID) has a small copy icon next to it. One tap puts it on your clipboard. Look for the brief "Copied" toast at the bottom of the screen.
Undo toasts
Some actions show a toast at the bottom of the screen with an Undo button after you do them. If you didn't mean to, hit Undo within a few seconds and the action reverses.
Frequently Asked Questions
On the login screen, click Forgot password?. We'll email you a reset link. The link is good for one hour.
Link counts can take up to 24 hours to reflect on your dashboard. Commissions and installs can take a bit longer because they come from Apple/Google after the user installs the app.
The link itself is permanent (it's tied to your account ID). You can change your display name and contact info on the My Account page anytime.
Hit the refresh button on the My Link card. If it still doesn't show, give it a couple of hours — some platforms are slower to report than others. Anything still missing after a day, let us know.
No — and that's the point. The whole program is designed to stay hands-off for you. You give us the info; we design, print, package, and ship. No vendors to coordinate, no quality issues to chase down. Order them from the party page when you're ready and we take it from there.
There's a sun/moon toggle in the top-right corner of the portal. The whole interface follows your choice automatically.
